Document Repository

The Document Repository is a great place to securely store and share files with sales team members. The repository easily allows team members to save documents onto their Leads, Contacts or Deals, and include documents in emails.

Who has access to the Repository?
You must be an Admin to add or delete documents. To learn more about user roles in Base, click here.

How do I access my Document Repository?
You can access your Document Repository any time by clicking the gears in the upper right hand corner near the search bar, and clicking Document Repository.

When viewing your Repository, you can search for specific documents by file name, as well as sort by name or date added.


Adding a document to your Repository
To add a document or file to your Repository, simply open the Repository and drag and drop your file from the desktop or folder! You can select multiple files at once.

If you prefer a classic-style uploader, click the "Upload from your Computer" button. A window will pop up and you can choose which documents you'd like to add to the Repository.

Adding a document from the Repository to a Contact, Deal, or Lead
Documents that you add to your Repository can be easily added to Contacts, Deals, and Leads. Documents in your Repository can be associated with multiple Contacts, Deals, and Leads at the same time.

To get started, head over to your Contact, Deal, or Lead.

On the lower right-hand side of the page, you'll find the Documents section. Click the + button to add a document or file.

You'll be asked whether or not you'd like to add a new file (one that isn't in your Repository), or select one from your Repository.

Select the document  you would like to add (you can select multiple documents), and click attach. You're done!

Tip: You can select multiple documents at once by holding down the Shift button.

Updating a document version
Sometimes you need to update your documents so your team can have the most up-to-date information in their hands. The Document Repository allows you to easily update file versions without having to delete and re-add each new version to all of your Contacts, Deals, and Leads.

To update a document version, click the "Upload new version" button. A pop up window will ask you to select the file from a folder on your computer. Select your file, click upload, and you're done. All of your Leads, Contacts, or Deals are updated in just a few clicks.

Updating the name of a document
By default, documents uploaded to your Repository will be named after the file from your desktop. You can edit the document name by selecting the document and clicking the pencil icon. Once you've finished typing in your new document name, press enter to save it.

Downloading a document from the Repository
When viewing the Document Repository, select the file (or files) you would like to download and click the download button. The documents will be downloaded to your default download folder.

Deleting a Document from Repository
To delete one or more documents from your Repository, select the file(s) you would like to delete. You can select multiple files by holding down the shift key while selecting your files. Next, click the trash can icon to delete the file(s). You can only delete documents you've uploaded to the Repository yourself.

Storage and file size limits

There are no limits to the size of the files you can upload to Base, as long as it falls within your subscription plan's storage allotment!

Supported file types

Base supports uploading and storing the following file types: PDF, Word, Excel, Powerpoint, Pages, Keynote, PNG and JPG.
